The import template can help you get your basic data in place, but it won't get you all the way to data creation.
The data import template in Excel can help you import your product and packaging master data into GS1TradePackaging. This means you can use the import template to import data about products, packaging components and packaging units and to link components, units and products together.
You don't need to fill out the entire template. You can simply import product data or packaging components with the template. At the same time, you don't need to link components, units and products together to import the file - this can be done later in Trade Packaging.
Please note: The data import file can contain a maximum of 200 data lines in each tab - i.e. 200 products, 200 devices and 200 components. If you have more than that, download a new file and continue working.
After importing your basic data, you need to perform the following tasks in GS1Trade Packaging:
Do you have many products? We generally recommend that you get your suppliers to help create data. The most efficient method is for suppliers to set themselves up in GS1Trade Packaging and share data with their customers in the system. This saves a lot of time for both suppliers and customers - and ensures higher data quality.
The import template must be downloaded inside GS1Trade Packaging. The template comes with a unique ID, so it is important that you always download templates from your own workspace.
From the front page of GS1TradePackaging - click Importin the top right corner and then Download template. Here you can choose to download one template for your own use or several for your suppliers.
If you want to use the import template to collect data from your suppliers, you can choose to download multiple files at once. It is important that each supplier gets their own unique import template. Data will be overwritten if you import the same file with the same ID multiple times.
The following example is based on downloading a single template for your own use.
Go to theProduct tab. Fill in the required data fields: Brand name, Product name, Language, Product ID, GTIN (optional), Net content, Unit of measurement and Status. Net content can be entered as whole numbers or decimal numbers. Not as a range.
Be aware:
Enter theProduct reference identifierfor each product. It should be a number from 1-1000. We recommend going chronologically.
Please note: Each reference identifier is unique and can only be used once in the template. If you use the same reference number multiple times, the field in Column C will turn red to indicate that there is a duplicate.
Go to thePackagingUnit tab. Fill in the data fields: Name, Type and Status.
Enter thePackaging unit reference identifierfor each packaging unit. It must be a number between 1-1,000. You cannot use the numbers you used in Step 1.
Please note: Each reference identifier is unique and can only be used once in the template. If you use the same reference number multiple times, the field in Column C will turn red to indicate that there is a duplicate.
Go to thePackagingComponent tab. The following fields are mandatory and must be filled in: Name, Element type, Type, Weight, Unit of measurement and Status (far right in column AA). Weight can be entered as whole numbers or decimal numbers. Not intervals.
In addition, you can fill in additional technical properties in column I-Z. This is optional information and not required to import the template.
Enter thePackaging component reference identifier for each product. It should be a number from 1-1000. We recommend going chronologically.
Please note: Each reference identifier is unique and can only be used once in the template. If you use the same reference number multiple times, the field in Column C will turn red to indicate that there is a duplicate.
Product, packaging components and packaging unit are now created. You can choose to link components to devices and devices to products.
Please note: It is not a requirement that components, devices and products are linked together in the template for the template to be imported. Our experience is that for some it is easier to link the units together later in GS1Trade Packaging.
If you choose to connect the devices in GS1Trade Packaging, we recommend that you use clear naming so that you can easily distinguish the components from each other in GS1Trade Packaging. For example, this could be "component for product A".
Go to theComponentToUnitAssociate tab.
Insert the reference number of the components in Column B,Packaging Component reference identifier.
Insert the reference number of the packaging unit they are part of in Column D,Packaging Unit reference identifier.
Now packaging components are connected to the packaging unit. The next step is to connect the packaging unit to the product.
Please note: You can easily link the same component to multiple devices.
Go to theProductAssociate tab.
Insert the reference number of the product in Column B,Product reference identifier.
Insert the packaging unit reference number in Column F,Packaging Unit reference identifier.
The packaging unit is now connected to the product.
Please note: You can easily link the same device to multiple products if you use the same packaging unit for multiple products.
When you're done, save the file to your computer.
Open GS1TradePackaging and selectImport.
Click on the upload field and select the Excel file or drag the file into the upload field. The processing will start automatically.
If the file is filled in correctly, the status will change fromWaiting in queuetoImport complete.
If the import fails, the status will show an error message and an Excel file will be created for download with an overview of the errors given. See the most common error sources in the section below.
