How to Calculate Marketed Packaging Quantities in GS1Trade Packaging

The first version of the reporting module is now live in GS1Trade Packaging. This means you can now generate a report based on your master data and begin familiarizing yourself with the functionalities.

  • You can create as many reports as you wish.
  • The calculated packaging quantities remain within your workspace and can only be viewed by users who are linked to it.
  • Once you have your sales data for October, you can generate the final report and submit the quantities to your collective compliance scheme.
  • We are introducing the concept of "Product Versions", which is a snapshot of all directly and indirectly linked packaging master data at a specific point in time. Read more about Product versions at the end of the guide.

In the next release, the system will automatically ensure that your reports are always based on the most recent master data. In this beta version, this task is manual - you must create new product versions yourself to include the latest changes in your reports.

Note: If you have already started a report and need to adjust your master data - and these changes will affect multiple products - please wait until the next update is released before proceeding.

It's important that all master data is finalized before you generate your first report.

 Before creating the report make sure you have:

  • Added GTINs to all relevant products
  • Linked all products to a packaging unit. And if relevant to a packaging system. Products are linked indirectly to packaging systems when a linked unit is placed within a system.
  • Verified that all packaging units contain active components and that inactive ones have been removed
  • Defined main and/or integrated components
  • Completed packaging classification, including environmental grading for all components (missing data will stop the report calculation)
  • Created packaging systems with correct quantities at the primary, secondary, and tertiary levels.

1. create a report

  1. Go to the "Reports" menu.
  2. Click Create new report.
  3. Select a period.
  4. ‍(Optional) Add a note.
  5. Click Create report.
  6. You will then see a list of reports displaying Report name, Note, Report ID (auto-generated), User who created the report.
  7. Click on a report to view details, edit, or add products. At the top, you can see the latest modification date and the user who made the change.

2. Add Products to the Report

You can choose products for your report in two ways:

  • "Select products manually. Search by GTIN, Product ID, product name, etc.
  • "Use all active products". All active products are added; you can then remove any that are irrelevant.

If you wish to add more products later, click Add line.

3. Select Packaging

For each product, ensure you report on the correct product version, packaging unit, and, if relevant, packaging system.

You must specify whether packaging units end up in household or commercial waste streams, and indicate if any parts of the packaging system fall outside your producer responsibility.

How to - step-by-step:

  1. ‍Selectthe product version to be used for reporting. If none exists, create one here; otherwise, select from the dropdown list.
  2. Choosethe packaging unit corresponding to the sales volume you are reporting. Example: If you report on a base unit, choose the consumer packaging. If you report on a case, select the case packaging.
  3. ‍Specifythe packaging system (if relevant). If the product is linked to multiple systems, select the correct one from the dropdown menu.
  4. Specifyhousehold or commercial for the packaging unit(s).
  5. ‍Specifyproducer responsibility. By default, you are responsible, but you can select "not liable" if using generic packaging that should be excluded from the calculation.

If you see a warning icon (red triangle) next to the product, hover over the icon to get a description of the problem. It might mean that one or more components in the selected packaging unit lack classification. Return to Packaging Master Data and complete the missing information.

We recommend waiting to edit data until the next version is released in the end of October.

4. Enter Sales Volume

Once packaging has been selected for your products, you can enter sales volumes for the relevant period.

Currently, sales volumes must be entered manually, but an upload feature will be introduced in a future release.

View Your Calculated Packaging Quantities

Activate Show preview in the upper left corner of the report to view your calculated packaging quantities.

The first page provides an overview of total packaging quantities distributed by:

  • Household and commercial
  • Waste type, material category, and environmental grading

The following tabs display quantities for:

  • Disposable packaging
  • Reusable packaging
  • Single-use plastic products (SUP)
  • Non-liable / Not covered

Previous reports cannot be edited. If an incorrect sales volume was entered, adjust it in a new report using negative quantities.

Reports cannot be deleted or marked inactive. You can use the Note field for internal communication in such cases.

What Are Product Versions in GS1Trade Packaging?

With the launch of the reporting module, we are introducing Product Versions - a snapshot of all directly and indirectly linked packaging master data at a specific point in time.

The function supports two main business needs:

Different packaging variants of the same product

If a product under the same Product ID exists with slight packaging variations in stock, you can create Version 1 for Variant 1 and Version 2 for Variant 2.

Example: Version 1 has only a front label, while Version 2 has labels on both front and back. This enables you to report both variants as marketed quantities for the same period.

Calculating marketed quantities

When calculating marketed quantities based on sold products, these calculations rely on directly and indirectly linked packaging master data.

Because these data can be updated by multiple users, a product version provides a stable snapshot for calculation.

When updating packaging master data that should be included in report calculations, you must create a new product version to capture the updated data.

Example: If a component linked to Product Version A changes weight from 10 g to 10.5 g, you must create Product Version B to include that 0.5 g change in the marketed quantity for that product.
